Coordinating evidence across an international, multi-timezone team

A meaningful part of my evidence (reference letters, documentation of collaborative work) involved colleagues spread across several countries and time zones, and the logistics of that took more active management than I expected. What worked: being explicit and specific in my initial outreach about deadlines with real buffer built in, rather than assuming everyone would intuitively prioritize my request the way I might if the situation were reversed for a close colleague. I also found that a brief video call, even a short one, got a faster and more thoughtful response from some collaborators than an email chain alone — worth considering for anyone whose network is similarly spread out and where email back-and-forth across time zones can stretch a simple request into weeks. The other thing I underestimated: time needed for document authentication or apostille processes for anything originating outside the US, which varied significantly by country. If any of your evidence needs this kind of processing, I'd start that specific piece early and treat it as its own timeline item, separate from the general evidence-gathering timeline.
